1. Who we are
This website, thetazeta-dke.com (the "Site"), is operated by the Theta Zeta Alumni Association (the "Association," "we," "us," or "our"), the alumni organization of the Theta Zeta Chapter of Delta Kappa Epsilon at the University of California, Berkeley. Our mailing address is 2302 Piedmont Avenue, Berkeley, CA 94704, and our email is alumni@thetazeta-dke.com.
The Site is not operated by, and this policy does not cover, Delta Kappa Epsilon International, the University of California, or any other organization whose links appear on the Site.
This policy explains what personal information we collect through the Site, how we use and share it, and the choices you have. By using the Site you agree to this policy and to our Terms of Use.
2. What we collect
Information you give us
We collect only what we need to run the alumni community. Depending on which forms you use, that may include:
- Contact and identity details: your name, email address, phone number, mailing address, pledge class or graduation year, and your relationship to the chapter (for example, alumnus, active member, family member, or prospective member).
- Profile details you choose to share: employer, title or role, industry, a short bio ("what you're up to"), and a photo.
- Event registrations: the event you are registering for, the number of additional guests, and any notes you include.
- Payments: when you make a donation, pay dues, or reserve a seat at an event, our payment processor collects your name, email, billing address, and card details. We never see or store your full card number. We receive a record of the transaction (name, email, amount, date, and the fund it was directed to).
- Member accounts: if you are approved for the members-only alumni portal, the name, email address, and password you create for your account. Passwords are stored by our hosting provider in hashed form and are never visible to us.
- Submissions: anything you send through our forms, including messages, files you upload, remembrances for the Mystic Circle memorial page, and requests to reach another brother.
- Prospective members: if you use the rush form, your name, email, any chapter affiliation, and your message.
Information we collect automatically
When you visit the Site, our hosting provider (Squarespace) and our analytics tools collect standard technical data: IP address, browser and device type, pages viewed, the site you came from, and the date and time of your visit. Some of this is collected through cookies and similar technologies, described in our Cookie Policy. Where our cookie banner is shown, analytics cookies are set only after you accept them.
Information from other sources
We maintain alumni records that may include information from the chapter's historical rosters, Delta Kappa Epsilon International's alumni roster, past newsletters and event lists, and updates sent to us by other brothers (for example, an address change or a notice that a brother has passed away). We use this information for the purposes described below.
3. How we use it
We use personal information to:
- respond to your messages and requests;
- register you for events, plan head counts, and communicate event details;
- process donations, dues, and event payments, and send receipts;
- maintain the alumni roster and keep it accurate;
- operate the members-only alumni portal, including the directory, map, events page, and Mystic Circle memorial page;
- send the alumni newsletter and other alumni communications you have signed up for;
- recognize donors and volunteers, as described in section 6;
- keep the Site secure, prevent spam and abuse, and understand how the Site is used so we can improve it; and
- comply with legal obligations and enforce our Terms of Use.
We do not sell personal information, and we do not use it for third-party advertising.
4. Who we share it with
We share personal information only as described here:
- Service providers that run the Site for us. Squarespace (website hosting, forms, member accounts, and payment processing through Squarespace Payments and its banking partners), Google (Google Analytics, reCAPTCHA spam protection, and Google Workspace tools such as Drive and Sheets where we keep alumni records), Intuit Mailchimp (email newsletters and text messages), and Netlify and Neon (hosting for our alumni records database). These providers may only use your information to provide services to us.
- Other members of the Association. Alumni Board members and volunteers who help run events, the newsletter, fundraising, and the roster. They are asked to use the information only for Association purposes.
- Other alumni, through the member portal. See section 5.
- The active chapter and Delta Kappa Epsilon International. We may share roster information (name, class year, and contact details) with the Theta Zeta chapter and with DKE International to keep alumni records consistent and to support chapter operations. We do not share your information with them for marketing.
- Event partners. For a paid event, we may share a guest list (name and party size) with the venue or caterer.
- Legal reasons. If required by law, subpoena, or court order, or where we believe it is necessary to protect the rights, property, or safety of the Association, our members, or others.
5. The member portal and directory
The alumni portal is available only to brothers whose membership has been verified by the Association and who have created an account. Within the portal:
- The directory and map show each brother's name, class year, and city and state (or country). They do not show email addresses, phone numbers, or street addresses.
- A member who wants to reach you sends a request through the portal. The Alumni Board relays that request to you. Your contact details are shared only if you choose to respond.
- The events page shows the names of brothers who have RSVP'd to upcoming events.
- The Mystic Circle memorial page lists brothers who have passed away, with class year and remembrances submitted by others. The Board reviews submissions before posting.
If you would rather not be listed in the directory or map, or want your city hidden, email alumni@thetazeta-dke.com and we will remove or limit your listing within 30 days. Members must use portal information only for personal alumni connection and never for commercial, political, or mass-mailing purposes; see the Terms of Use.
6. Donor and attendee recognition
We recognize donors by listing their name and class year on the Donate page and in the alumni newsletter. We list the names of brothers attending events on the portal and, for the 150th Anniversary, on the public anniversary page. If you would like your gift or attendance to be anonymous, tell us when you give or register, or email us at any time and we will remove your name.
Photos and videos taken at Association events may be published on the Site, in the newsletter, and on our social channels. If you appear in a photo and would like it removed, email us and we will take it down.
7. Email and text messages
Email. You can sign up for the alumni newsletter on the Site or by checking the "news and updates" box on a form. Every newsletter includes an unsubscribe link, and you can also email us to be removed. We may still send transactional messages, such as event confirmations, payment receipts, and replies to your requests.
Text messages. We send text messages only to brothers who have opted in. If you opt in, you agree to receive occasional alumni updates and event reminders from the Theta Zeta Alumni Association. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time and HELP for help. Consent to receive texts is never a condition of membership, attendance, or any purchase.
8. Cookies and analytics
The Site uses cookies that are essential to make it work (for example, to keep you logged in to the portal and to protect forms from spam), and, with your consent, analytics cookies from Squarespace Analytics and Google Analytics that tell us which pages are visited. We use Google's consent mode so that Google Analytics runs only after you accept analytics cookies. We do not use advertising or retargeting cookies. Because the Site honors the choices you make in the cookie banner, we do not separately respond to browser "Do Not Track" signals.
9. How long we keep it
Alumni roster information is kept for as long as we maintain records of the chapter, because the Association exists to keep brothers connected for life. Form submissions and messages are kept for as long as needed to handle them and for our records, generally no more than three years. Payment records are kept for as long as tax and accounting rules require, generally seven years. Member portal accounts are kept until you close your account or we deactivate it. Analytics data is kept according to the retention settings of our analytics providers.
10. Security
We use reasonable measures to protect personal information: the Site is served over HTTPS, the portal is protected by login, payments are handled by a PCI-compliant processor, and access to alumni records is limited to Board members and volunteers who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach affecting your information, we will notify you as required by law.
11. Your choices and rights
Whoever you are and wherever you live, you can ask us to:
- tell you what personal information we hold about you;
- correct or update it (the fastest way is the Update Your Info form);
- delete it, subject to records we must keep for legal, tax, or historical reasons;
- remove you from the directory, map, donor lists, or attendee lists;
- stop sending you newsletters or texts; or
- send you a copy of the information you provided.
Email alumni@thetazeta-dke.com with your request. We may ask you to confirm your identity. We will respond within 30 days and will never treat you differently for exercising these rights.
12. California residents
The Association is a not-for-profit alumni organization. The California Consumer Privacy Act (CCPA) applies to for-profit businesses, so it generally does not apply to us. We nonetheless honor the rights described in section 11 for everyone, including the rights to know, delete, correct, and opt out. We do not sell or share personal information for cross-context behavioral advertising, and we have not done so in the preceding 12 months. Under California's "Shine the Light" law (Civil Code section 1798.83), California residents may request a notice about any personal information shared with third parties for their direct marketing; we do not share personal information for that purpose.
13. Children
The Site is intended for adults and college-age adults. We do not knowingly collect personal information from anyone under 13. If you are under 18, please have a parent or guardian review this policy before you submit a form. If you believe a child has provided us information, email us and we will delete it.
14. Visitors outside the United States
The Site is hosted in the United States and is intended for alumni and friends of a U.S. chapter. If you visit from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country. Where the law of your country gives you additional rights (for example, in the European Economic Area or the United Kingdom), you can exercise them by contacting us, and our legal bases for processing are your consent, our legitimate interests in running an alumni community, and performance of a contract when you buy something from us.
15. Changes to this policy
We may update this policy from time to time. When we do, we will post the new version here and change the "last updated" date at the top. If a change materially affects how we use information you have already given us, we will notify alumni by email or through the portal before it takes effect.
